What Is a Hybrid Event?

In today’s world, where we can work with and connect with people worldwide with the click of a button, events are taking a different approach. See hybrid events. While you may not have heard this term before, we think this approach to events is here to stay for the long-haul. Here is everything you need to know about hybrid events and some information to help you decide if a hybrid event is right for you.

What Is A Hybrid Event?

A hybrid event is—for lack of a better explanation—a way to combine an in-person event with a virtual event. Let’s use a corporate event as an example. A company might have locations all over the globe, with its headquarters in one specific metropolitan area. Traditionally, a business would pay to have everyone meet in one central place, pay for airfare, hotels, etc. Or host multiple events in different cities to reach everyone on their team. This can get costly and create a divide when some attendees can’t make it or get a slightly different experience than others. Many companies are now opting to host the event live for people who can make it and allow the other attendees to tap in via web conferencing apps like Zoom and Google Meet. This way, everyone can be a part of the same event, get the same info, and the cost can go way down.

Why Would I Want To Host A Hybrid Event?

Besides the apparent cost-savings, these events allow you to reach people for days to come. In the past several years, you may have noticed many in-person conferences giving you “virtual pass” options. The idea for these is to allow those who could not make a live event for personal or logistical reasons to log in and participate for months and even years after the event is through. By being able to record sessions, you can create an online portal so that your event can be watched and re-watched time and time again. However, beware that not all event venues can host virtual events alongside the in-person ones. So, you must let your desired venue know of your goals before you sign on the dotted line to host there. By bringing up all of your event ideas in the initial event venue tours and meetings, you can avoid many issues that tend to creep up in the planning process.

How Does This Translate To Personal Events?

You may be wondering how hybrid events could be applicable for your private occasions like a wedding, quinceanera, or baby shower. Well, we have heard incredible stories of folks hosting Zoom weddings and going so far as to sending cake in a mug to each virtual attendee so that they can be a part of the cake eating. Virtual experiences don’t only have to be planned for conferences and speaking engagements. You can plan games, get a DJ to host a dance party, and even allow people to give speeches and break out into “tables” just like they would at an in-person event. So, if you want to keep your wedding or event small and intimate but still want your friends around the world to be able to participate, a hybrid event might be perfect for you!
