A great event begins with selecting a great venue. When you choose the perfect venue, it adds character to your event and brings it to life. The right venue will help your attendees make lasting memories whether you’re holding a convention or a performance.

What are the keys to a terrific event venue? Don’t forget these four factors:

Location
When event attendees look for a hotel, they naturally search in the neighborhoods around your venue. A good location is convenient to a number of quality accommodations. Remember: Not all attendees will want to rent a car, particularly if the event is three days long or less — so access to convenient public transportation can help them plan an itinerary.

Ambience
What mood do you want your event to convey? With the right touches, a good venue can transform into an elegant space for an intimate soiree, a sleek high-tech wonderland, or anything in between. Make sure the decor, architecture, customer service, and layout meet your needs before you commit – but never hesitate to bring your own spark of creativity.

Amenities
Good amenities are crucial! If you’ll be hosting many different speakers, make sure your venue can provide or accommodate the technology they will need. If you’ll be providing lunch or dinner for your attendees, check in with the catering staff and be sure they can prepare a suitable menu. The best venue centralizes everything you need so you can focus on the big picture.

Cost
When you have hundreds or even thousands of attendees, costs can quickly become a factor. Use the size of your group to your advantage by negotiating volume discounts from service providers – including potential venues. Reaching out to multiple venue options will help you negotiate in your best interests by giving you an understanding of the local price range.

A venue is an essential part of any successful function, so it’s a good idea to start your search early. Many large non-profits and other organizations publicize the venues where they’ve held meetings in the past. You can go a step beyond Yelp or the average Google search by reaching out to their event planning staff. Also, consider talking to event planning consultants in the area.

All events are different, and every venue has something to offer. Form a clear vision of what you want, and you’ll be on the road to success!

My daughter is getting married in the spring, and I think that one of the most important decisions we will make will be the venue. I like how you point out the importance of choosing a place that has the ability to convey the kind of mood you want to have at the event. I hadn’t thought of that before, but I’ll definitely look for it now. I think that another huge factor for us will be the size. We have a huge family that is very loud, so having a place big enough to hold us all will be very crucial.

Thanks for mentioning how you should make sure that the event center you choose has all the amenities you may need, like catering or technology. The company I work for is hosting their annual charity dinner and are looking for a bigger center to hold the event in since our company has grown. I’ll be sure to mention to them that they should be sure that they choose a venue that is able to cater to all of our guests with a fabulous menu.

  3. I agree that the ambiance of your event venue matters. If I was choosing an event space, I’ll make sure it conveys the feeling that I want to achieve. Thanks for sharing!
